How the software will help you
With CTI software, there’s no need to create and manage complex labels or tags to organize and manage your tasks. The software automatically creates the tags and filters you need to stay organized from the areas of activity, people, places, things, and projects that define your daily life.
The CTI software is designed around seven distinct and user-friendly modes of task management:
- Today Mode – A fresh unfiltered view of your today tasks.
- Calendar Mode – Select and view tasks in chronological order for any day(s) on your calendar. You can auto-select with “forecasting” to quickly view your schedule for a week, month, quarter or year.
- Areas Mode – View and manage all of your tasks, scheduled or unscheduled, for every area of activity in your life.
- Contexts Mode – Manage your tasks in the context of the people, places and things that you rely on every day to get things done.
- Notes Mode – Manage non-actionable information as notes.
- Inbox Mode – Use the Inbox to “sort things out” by assigning your tasks an area of activity and a scheduling status (calendar, contingent, next action, etc).
- All Tasks Mode – “All Tasks” mode is embedded within the CTI search function and is used to display and search all current tasks or all current and past (completed) tasks when used in combination with the “reveal” function.
There are eight intuitive perspectives for managing task priority without flags, tags or colors and, most of all, without urgency.
- Scheduled Tasks – Scheduled tasks are of greatest importance and are presented chronologically as agendas for each calendar day.
- Reminded Tasks – The most critical tasks are monitored days before they are due with daily reminders (no need for “Defer Dates”).
- Forecasted Tasks – The urgency of future scheduled priority tasks is mitigated with forecasts highlighting their arrival in the coming week, month, quarter and year.
- Contingent Tasks – “Contingents” are pre-qualified calendar tasks to be worked into your daily schedule as soon as possible or at your earliest convenience.
- Repeat Tasks – Repeat tasks are incorporated into your regular routine. They can be considered as recurring “rituals”.
- Next Actions – Next Actions are prioritized tasks organized sequentially to be activated to your calendar when the conditions are right. They are available for all areas, people, places, things, and projects.
- Pending Tasks – Pending tasks are monitored for their diminishing importance and possible elimination.
- Inbox Tasks – Newly created tasks without an associated Area of Activity are processed through the Inbox.
The software provides a multitude of methods for taking action on your tasks; most can be completed in less than a second. These include:

Task Types allow you to efficiently complete the same type of task across different areas of activity when the time and circumstances are right; for example, when you are at your computer for deskwork, in a quiet place for calls or writing messages, using your vehicle for errands, or prepared for physical activity or work. Task types can be especially helpful to manage your calendar for current and upcoming events.
At CTI, we do not overlook the importance of notes. Notes are the “non-actionable” information that can easily get mixed in with your “actionable” tasks. In fact, the CTI app supports converting tasks to notes and notes to tasks at any time.
